 Treasure Coast Challenge Cup Captains Meeting – February 6, 2014 

The meeting was called to order by Vicky MacKay, president, at 3:05 pm at Monarch Country Club.  Board members present were Beth Reilly, Sara Bosch, Yvette Hardiman, Kris Hodgkinson and Traci BeierEeve Metsisto, Maureen Cotter and Anne Cannell were unable to attend and sent their regrets.  Vicky MacKay welcomed Martin Downs and Monarch CC 2 into Cup 4.  All board members present introduced themselves with their titles.  Traci Beier called the rosters for each team, per Cup with all teams represented but Mariner Sands.  Vicky MacKay and the Board thanked Lucy Kiggins for all of her hard work in the past years as the publications person.  Lucy had many years of handling the challenging job of compiling and producing the booklets. 

The reading of the January minutes was waived, but the minutes were approved. 

Treasurer’s report stated that there was a balance of $1,849.54, with all teams having paid in full for the 2014 season.  Expenses to come will be for printing of the books, purchasing any additional results boards, and bag tags.  Kris Hodgkinson reported that the cost of new bag tags will be $5.00 each. 

The executive board members met before the captains meeting in regards to Cup 4.  Yvette Hardiman stated that Monarch will have a total of 24 girls for their permanent team roster.  Yvette will also take care of making the results board for Cup 4.  There will be four additional pages added to the booklet for the final printing due to the addition of the Cup 4 teams.  Pages will include directions to their club, past presidents and another result chart for captains with more than one team.  Play dates for Cup 4 teams will be on April 10th at Monarch and April 14th at Martin Downs.  There is also a possibility of adding two new potential teams for the 2015 season for Cup 4, Lob Lolly and Turtle Creek. 

At the main meeting board members met with individual cups, going over any corrections in the booklet, discussing required forms needed for final captains meeting and answering questions.  Captains were encouraged to use the website for information and print any forms they may need.  One heavy weight paper for a ranger sign will be provided for each team with their new booklets. Captains were reminded that their players should meet the qualifications of their club/league and be a member in good standing.  Each cup was informed that any last minute changes to line-up should be done in writing as soon as possible.  In addition, each captain should be called, and hosting pro shop informed of any last minute changes on roster. 

Next Captains meeting will be at Evergreen, on Thursday, March 13, at 3:00 pm.  Every team was reminded to bring eight copies of a computer generated handicap list from lowest to highest printed on March 1st with a permanent team roster list and a team roster for matches.  Yvette discussed Awards Day with registration and range facility open at 11:00 am.  Game is a two best ball of four, scratch game with flights.  Application to be filled out with index of each person on sign up sheet, with one check per club.  Any cancellations to call Yvette as soon as possible for her to assign a replacement.  Refunds only unless position is filled.

Treasure Coast Challenge Cup Captains Meeting – March 13, 2014

The meeting was called to order by Vicky MacKay, President, at 3:05 p.m. at Evergreen.  Board members present were Vicky MacKay, Beth Reilly, Sara Bosch, Yvette Hardiman, Kris Hodgkinson, Eeve Metsisto, Maureen Cotter, Anne Cannell and Traci Beier.  Traci Beier called the rosters for each team, per cup with all teams being represented.

The reading of the February minutes was waived, but the minutes were approved.

Treasurer’s report stated that there was a balance of $1,395.37, after paying for the printing and board expenses.  Bag tags have been ordered, but still need to be paid.

Vicky MacKay introduced Sara Bosch, as the rules person and Yvette Hardiman as the results person.  If there is a rules dispute, do not post the score on the large board until the situation is resolved.  

Each cup then exchanged their handicap roster, permanent team roster and team roster for matches with the opposing teams captain in their cup.  An additional copy was then given to Traci Beier, secretary, and Yvette Hardiman, results chairperson, from every cup.

All captains were reminded to notify opposing captains and pro shops of any last minute changes to their roster as soon as possible.  It was also stated that teams in multiple cups, must always play their first eight players only in the first cup and always in handicap order from lowest to highest.

Award’s Day application deadline should be sent to Yvette Hardiman with one check for all players by April 5, 2014.  It was noted that all Board members will automatically be able to attend the Award’s Day, but are not counted as one of the four allowed from each club.  Any cancellations to call Yvette as soon as possible.  Refunds only unless the position isn’t filled.

Challenge matches to be held on Thursday, April 24th, at either Yacht & CC, PGA or Monarch CC.

Vicky MacKay urged all captains to have a team meeting to review the schedules, payments, hosting responsibilities, rangers, rules for match play format and pace of play.
